Privacy Policy

How we collect, use and protect your and your child's personal information, in line with the UK GDPR and the Data Protection Act 2018.

Who we are

Diamond Blade Limited (“Diamond Blade”, “we”, “us”) is the data controller for the personal information described in this policy. We provide fencing coaching, classes, competitions and related activities for children and adults.

What we collect

Depending on how you use our services, we may collect:

  • Account & contact details: your name, email address, phone number and password when you create an account or make a booking.
  • Participant details: the name, age group, school year and, where you provide them, medical or accessibility notes and emergency contact details for the child or adult taking part.
  • Optional diversity information: if you choose to provide it, a participant's gender, ethnicity, school and whether they live in Camden. This is optional and consent-based; see “Children & funding data” below.
  • Payment information: when you pay, your card details are collected and processed directly by our payment provider (Stripe). We do not store your full card number.
  • Usage information: basic, privacy-friendly analytics about how our website is used, to help us improve it.

How we use your data, and our lawful bases

We use personal data only where the law allows. Our lawful bases under the UK GDPR are:

  • Contract: to take bookings, deliver classes and competitions, manage memberships, and process payments.
  • Consent: for optional information (such as diversity monitoring) and for any marketing emails. You can withdraw consent at any time.
  • Legitimate interests: to run and improve the club, keep participants safe, and communicate about the service, where this is not overridden by your rights.
  • Legal obligation: to meet safeguarding, health-and-safety, tax and accounting requirements.

For special category data (see below) we rely on your explicit consent (Article 9(2)(a) UK GDPR).

Children & funding data

Much of our work is with children, and we take particular care with their information. A parent or carer provides and manages a child's data through their account, and no optional information is ever required for a child to take part.

Diamond Blade is funded in part by the London Borough of Camden. As a condition of that funding we report on the reach and impact of our work. Where you consent, we use the optional diversity information, including ethnicity, which is “special category” data, to produce anonymised, aggregated figures for Camden (for example, “12 participants from Camden”). We never share a child's name or individual record with the funder. You can change or delete this information, or withdraw your consent, at any time by editing your child's profile or emailing us, without affecting your child's place at the club.

Who we share data with

We do not sell your data. We share it only with trusted service providers who process it on our behalf under contract, and where we are legally required to:

  • Stripe: payment processing.
  • Supabase: secure database and account hosting.
  • Email & hosting providers: to send booking confirmations and run the website.
  • London Borough of Camden: anonymised, aggregated impact figures only (never individual records).
  • British Fencing and relevant authorities, where required for membership, safeguarding or legal reasons.

Some providers may process data outside the UK; where they do, we rely on appropriate safeguards (such as UK-approved transfer mechanisms).

How long we keep it

We keep personal data only for as long as we need it: to provide the service and for a reasonable period afterwards, and for as long as required by law (for example, financial records). Optional diversity information is kept only for the duration of the relevant funding relationship, after which it is deleted or fully anonymised.

How we protect your data

We use appropriate technical and organisational measures to keep your data secure. Access to participant and diversity information is restricted to the account holder and authorised club administrators; it is never shown publicly, and sensitive fields are held under strict access controls.

Your rights

Under the UK GDPR you have the right to:

  • access the personal data we hold about you;
  • have inaccurate data corrected;
  • have your data deleted in certain circumstances;
  • restrict or object to certain processing;
  • data portability; and
  • withdraw consent at any time where we rely on it.

To exercise any of these, email hello@diamondbladefencing.com. If you are unhappy with how we handle your data you can complain to the Information Commissioner's Office (ICO) at ico.org.uk, though we'd welcome the chance to put things right first.

Cookies

We use only the cookies necessary to run the website securely (for example, to keep you signed in) and privacy-friendly analytics that do not track you across other sites. We do not use advertising cookies.
